Terms every vacation rental host should know.

Short, precise definitions around voice agents, websites, channel management and the legal frameworks. Each term explained in one sentence — plus background if you want to go deeper.

AI & Automation

Voice agents, AI disclosure and other AI terms around vacation rentals.

  • Voice Agent

    Go to service

also: AI voice agent, AI voice assistant, AI phone agent

A voice agent is an AI-powered phone assistant that takes calls, answers standard questions and escalates emergencies to a real person.

For vacation rentals, the voice agent handles typical guest calls 24/7 — key code, Wi-Fi password, house rules, arrival info, restaurant tips nearby. It knows your properties from a briefing and answers in the configured style.

If the call contains emergency triggers (water damage, power outage, medical emergency) or the guest explicitly asks for a person, the agent forwards automatically to your number or a designated emergency hotline.

Tech stack: ElevenLabs Convai for voice synthesis (native voices per language) plus Twilio for telephony. Actual bookings with payment still go through Smoobu — the agent forwards pre-booking enquiries or sends booking links.

  • Virtual Staging

    also: Virtual furnishing, AI staging

Virtual staging is the AI-powered virtual furnishing of an empty or sparsely furnished room in a photo.

Useful for hosts when the property is vacant (turnover phase, renovation) or the existing setup falls short of the rooms' visual potential. The base photo stays untouched — only furniture, lamps, art and plants are added.

Common styles include coastal, Scandinavian or rustic. Because guests will find the rooms different from the photo, every result should carry a visible AI disclosure (EU AI Act).

  • Sky Replacement

    also: Replace sky, AI sky

Sky replacement swaps a grey or overexposed sky in a photo for a calm, realistic summer sky.

Vacation rental photos are often shot in poor weather, dragging down the entire property's appeal. Sky replacement adjusts not just the sky but also the lighting on the rest of the scene to match the new conditions — the result doesn't look pasted in.

Unlike traditional retouching this happens AI-assisted, without Photoshop skills. The result counts as an AI-edited image and should be labelled accordingly.

  • AI Copywriting

also: AI text generation, Generative copy

AI copywriting is the automatic creation of listing descriptions, website copy or guest emails by a language model.

For vacation rentals typically: platform listings (Smoobu, Airbnb, Booking, Vrbo), website hero sections, booking confirmation emails, welcome booklets, multi-listing sets in consistent brand voice.

Output can be tailored to the host — tone, language, audience and specific highlights. An editorial review before publishing remains sensible, because language models can invent details.

  • AI Image Editing

also: Automated image optimisation, AI photo retouch

AI image editing optimises photos automatically via a language model — exposure, sharpness, look, sky replacement, virtual staging, retouch.

Unlike traditional Photoshop retouching the edit instruction is given in natural language (or via a preset). The model performs the adjustment, the host gets an optimised image back.

Results should carry a discreet AI disclosure — mandatory from August 2026 under EU AI Act, Art. 50.

Rental & Platforms

Channel managers, Smoobu, OTAs and booking strategy for vacation rentals.

  • Channel Manager

    also: PMS, Property management system

A channel manager syncs availability and prices of a vacation rental across multiple booking platforms (Airbnb, Booking, Vrbo) in real time.

Hosts listed on multiple platforms risk double bookings when calendars fall out of sync. A channel manager keeps every platform + the own website on the same state — book on Airbnb, the slot blocks on Booking automatically.

Smoobu is the most commonly used channel manager for vacation rentals in the DACH region. fewofy is an official Smoobu partner agency: the fewofy voice agent and individual website work with your Smoobu data; on Wix Studio, bookings run through the Smoobu booking widget.

  • Smoobu

    also: Smoobu Channel Manager

Smoobu is a German channel manager and PMS for vacation rentals that bundles booking platforms, calendar and guest communication in one tool.

Smoobu syncs Airbnb, Booking, Vrbo and others in real time, offers an integrated booking calendar, guest communication tools and its own website builder.

fewofy is an official Smoobu partner agency and uses Smoobu as the backend: for the voice agent that answers guest calls, and for the individual website with Smoobu API integration. Wix Studio users embed the Smoobu booking widget.

  • Direct Booking

    also: Direct reservation, Owner-channel booking

A direct booking is a reservation made directly on the host's own website — without commission fees to Airbnb, Booking & co.

Platform bookings cost hosts 15–25 % commission per booking. Direct bookings cut that out entirely — the host keeps the full nightly rate.

Requires an own website with a working booking integration (typically via Smoobu widget or API). A direct-booking share of 20–40 % is realistic with a solid website, SEO and repeat-guest strategy.

  • OTA (Online Travel Agency)

    also: Booking portal, Platform

OTA stands for Online Travel Agency — booking portals like Airbnb, Booking, Vrbo or Expedia that connect travellers with accommodation.

OTAs provide reach, trust signals (reviews), payment handling and communication — in return they take 15–25 % commission per booking. For most vacation rentals 1–3 OTAs are the primary booking channel.

Strategically, OTAs make sense as an acquisition channel, but it pays off to grow the direct-booking share in parallel via your own website plus a repeat-guest strategy.

  • OTA Commission

also: Booking portal fees, Platform commission, OTA fees

OTA commission is the fee a booking portal like Airbnb or Booking keeps per booking it brings in — usually 15–25 %.

Depending on the portal and model, the commission is borne by the host, the guest (service fee) or both. For you as a host it directly reduces the return per night — at 20 %, a €1,000 revenue leaves only €800.

Direct bookings through your own website avoid this commission entirely. A channel manager like Smoobu lets you sell across multiple portals while building up the commission-free direct channel in parallel.

  • Direct Booking Rate

    Go to service

    also: Direct booking share, Direktbuchungsquote

The direct booking rate is the share of all bookings that come in directly via your own website, without any booking portal.

It measures how independent you are from OTAs and their commissions. Every direct booking saves 15–25 % platform commission and gives you full control over guest data and communication.

A rate of 20–40 % is realistic with your own website, solid SEO and a repeat-guest strategy. Levers are a fast booking engine, strong Google visibility and targeted outreach to past guests.

  • Occupancy Rate

    also: Occupancy, Utilisation, Belegungsrate

The occupancy rate shows how many of a property's available nights were actually booked over a period — as a percentage.

It's calculated as booked nights divided by available nights. 20 booked of 30 possible nights gives an occupancy rate of around 67 %. It's the central utilisation metric in vacation rentals.

On its own it's misleading: high occupancy at too low a price earns less than moderate occupancy at a good nightly rate. That's why it's always read together with ADR and RevPAR.

  • ADR (Average Daily Rate)

also: Average Daily Rate, Average nightly rate

ADR stands for Average Daily Rate — the average price a property earns per booked night.

ADR is calculated as accommodation revenue divided by the number of booked nights. It shows how much your pricing earns per night actually sold — regardless of how many nights stayed empty.

ADR is a central lever for returns: if it rises without occupancy dropping, profit grows directly. Dynamic pricing optimises ADR and occupancy together, rather than maximising just one figure.

  • RevPAR

also: Revenue per Available Room, Revenue per available night

RevPAR (Revenue per Available Room) is the accommodation revenue per available night — the metric that combines occupancy and nightly rate.

You calculate RevPAR as ADR × occupancy rate, or as accommodation revenue divided by all available nights. Unlike ADR, RevPAR also factors in empty nights and so shows the real earning power.

Because one figure combines price and utilisation, RevPAR works well for comparing across seasons or between multiple properties. Dynamic pricing typically aims for the highest possible RevPAR.

  • Dynamic Pricing

also: Price automation, Revenue management, Preisautomatisierung

Dynamic pricing adjusts the nightly rate automatically to demand, season, weekday, events and occupancy — instead of working with fixed prices.

Specialised tools analyse market data, local events, holidays and your own booking situation and suggest an optimised price for each day. The goal is to balance occupancy and nightly rate so RevPAR rises.

Prices flow through the channel manager to every portal and your own website. This avoids being too cheap in peak season and too expensive in the off-season.

Tech & Websites

Wix Studio, Lighthouse, iCal — technical fundamentals for vacation rental websites.

  • iCal

    also: iCalendar, ICS feed

iCal (iCalendar) is a data format for exchanging calendar information — the standard sync between booking platforms for vacation rentals.

Platforms like Airbnb and Booking export booking calendars as an iCal feed (URL with .ics extension). A channel manager like Smoobu imports these feeds, keeps them current and reconciles them across all other channels.

Caveat: iCal sync isn't fully real-time — typical delay 5–30 minutes. For closely timed bookings this can cause double-bookings. For high-volume rentals prefer API-based sync (e.g. via Smoobu).

  • Wix Studio

    Go to service

    also: Wix

Wix Studio is the pro version of the Wix website builder — with extended design control, multilingual support and API integrations.

Unlike the standard Wix editor, Wix Studio allows true responsive design (breakpoint-precise), CMS collections for content, multi-page templates and API access for custom integrations — all without code.

fewofy builds Wix Studio sites for vacation rentals via the certified partner agency Einblick Digital, including official Smoobu-API integration for the booking widget.

  • Lighthouse score

    Go to service

also: Core Web Vitals, Page Speed

Lighthouse is a Google tool that scores websites on performance, accessibility, best practices and SEO — on a 0–100 scale.

For vacation rental sites, performance (LCP < 2.5s, INP < 200ms) and SEO matter most. A score of 90+ across all four categories is the target for fewofy custom websites.

Smoobu and Wix builder sites typically score 70–85 due to platform overhead. fewofy custom Next.js sites achieve 95+ — relevant because Google ranks page speed directly as a ranking factor.

  • PMS (Property Management System)

also: Property Management System, Rental management software

A PMS (Property Management System) is the central management software for vacation rentals — bookings, calendar, guest data, invoices and communication in one place.

While a channel manager mainly syncs availability and prices across portals, a PMS covers the whole operational workflow: a central booking calendar, guest records, automated messages, invoices and tasks like cleaning.

Smoobu combines both — channel manager and PMS — in one tool and is especially common for vacation rentals in the DACH region. fewofy connects the voice agent and the individual website to the Smoobu backend.

  • Booking Engine

    Go to service

    also: Booking widget, Reservation engine

A booking engine is the booking system on your own website that lets guests check availability, see prices and book and pay directly.

It's the technical prerequisite for commission-free direct bookings: without a working booking engine, a website stays a brochure. For vacation rentals it usually runs as an embedded Smoobu widget or via the Smoobu API.

A fast, mobile-friendly booking flow and real-time availability from the channel manager matter, so no double bookings occur. On an individual fewofy website the booking runs via the Smoobu API right on the page; on Wix Studio it runs through the Smoobu booking widget.

  • Self Check-in

    also: Contactless check-in, Self-service arrival

Self check-in lets guests arrive and enter the property on their own — via lockbox, keypad code or smart lock, with no in-person handover.

It decouples arrival from your presence: guests arrive flexibly, even late at night, and you save fixed handover appointments. It requires clear, timely arrival info with a code or app access.

A voice agent can answer questions about access, Wi-Fi or the lockbox around the clock. Note: self check-in doesn't replace the legally required guest registration via the Meldeschein.

Legal & Compliance

EU AI Act, GDPR and other frameworks vacation rental hosts should know.

  • AI disclosure

also: AI labeling, EU AI Act Art. 50

AI disclosure is the mandatory visible marking of AI-generated content under EU AI Act Article 50, effective EU-wide from 2 August 2026.

Affected: synthetically created or edited images, audio and video. For vacation rentals especially: AI-edited photos (exposure, staging, sky replacement) and AI-generated listing texts.

This can be done with a discreet "AI-generated" label on the image, a watermark or a caption note. Responsibility lies with whoever publishes the image. A voice agent should also identify itself as AI at the start of the call.

  • GDPR

also: DSGVO, EU General Data Protection Regulation

GDPR governs the handling of personal data EU-wide — relevant for hosts with guest data, booking emails and voice-agent recordings.

Practically, a vacation rental site needs a privacy policy, cookie consent for tracking, secure encryption (SSL), and a clear notice at the start of voice-agent calls that the conversation may be recorded.

fewofy delivers websites GDPR-compliant, the voice agent comes pre-configured with a transparent AI disclosure at call start, and recordings are processed EU-compliant (ElevenLabs EU region on request).

  • Guest Registration (Meldeschein)

also: Guest registration form, Meldeschein, Accommodation registration

The Meldeschein is the registration of accommodated guests required by law in Germany — accommodation providers must collect and retain the data.

It's based on the Federal Registration Act (Bundesmeldegesetz): on arrival the guest must complete and sign a registration form with their details. The records must be kept for one year and presented to authorities on request.

The duty applies even with self check-in — it can be handled digitally, e.g. via an online registration form before arrival. The exact obligations vary by federal state, so check the local rules.

  • Tourist Tax (Kurtaxe)

also: Visitor's tax, Kurtaxe, City tax

The Kurtaxe is a municipal per-night levy in many tourism municipalities that hosts collect from guests and pass on to the municipality.

Each municipality sets the amount and scope itself — usually a fixed sum per person and night, often with exemptions for children. In return guests frequently receive a guest card with local discounts.

As a host you're responsible for correct collection, reporting and remittance. Some cities also charge a separate overnight tax (bed tax) — check your municipality's requirements.

Marketing & Service

Escalation rules, brand voice and other operations terms.

  • Upselling

    also: Add-on sales, Ancillary revenue

Upselling is the targeted sale of extra services around the stay — such as early check-in, final cleaning, a breakfast hamper or a rental bike.

Placed well, upselling increases revenue per booking without you needing to sell more nights. Typical moments are the booking confirmation or the message just before arrival — when willingness to buy is highest.

Your own booking engine or PMS features make extras directly bookable. What matters is a calm, helpful approach rather than pushy sales tactics.

  • Review Management

    also: Reputation management, Bewertungsmanagement

Review management covers actively collecting, answering and analysing guest reviews across all portals and your own website.

Reviews are the most important trust signal in vacation rentals — they directly affect portal ranking and the booking decision. A friendly reminder after departure noticeably lifts your review rate.

Just as important is replying — to good and critical reviews alike, calmly and factually. Taking criticism seriously and responding visibly wins the trust of future guests.

  • Guest Communication

    Go to service

    also: Guest messaging, Gästekommunikation

Guest communication is the entire exchange with guests before, during and after the stay — from booking enquiry through arrival info to the review request.

Fast, clear answers raise the booking rate and reduce questions during the stay. Recurring messages — booking confirmation, arrival instructions, check-out notes — can be automated and sent template-based via the PMS.

A voice agent can field phone enquiries around the clock and escalate only emergencies or genuine special cases to you. This keeps communication consistent without you having to be reachable at all times.

  • Escalation (voice agent)

    Go to service

    also: Emergency forwarding, Live handoff

Escalation is the automatic handoff of a voice-agent call to a real person — for emergencies, booking matters or explicit guest request.

Escalation rules are set during onboarding: emergency triggers (water damage, power outage, medical), questions outside the agent's knowledge, explicit request for a person.

On escalation the call switches seamlessly to the host's mobile or a designated emergency hotline. Which triggers escalate and to whom, we set up together with you during onboarding.

  • Brand voice

    Go to service

    also: Tone of voice, Tonality

Brand voice describes the linguistic style a brand communicates in — for vacation rentals e.g. warm-familial, modern-factual or classic-elegant.

A consistent brand voice across website, platform listings, guest emails and the phone increases recognition and trust. Once defined, the style carries over to every channel — including a voice agent.

With fewofy you set the voice agent's tone in the briefing — and the individual website speaks the same language.
